Furniture packing information: a clearer start to freight planning

Separate product measurements from shipment information before asking a logistics partner to plan the move.

A furniture shortlist answers what you want to buy. Freight planning needs a different set of information: what will actually be handed over for transport. For an importer, retailer or interior project team, keeping those two records separate makes the next conversation clearer. A product photograph and its overall dimensions do not describe the packed shipment.

The following checklist is a starting point for discussion, not a statement that a particular packing method, shipment size or delivery service has been agreed. Request details against the selected products and quantities.

Count packages as well as products

Ask how many packages make up each complete product. A table may be discussed with its top and base separately, while another design may be packed as one assembled piece. Do not assume either arrangement from a photograph. Confirm whether hardware, loose components or assembly information travel with the main package or in a separate pack.

Keep the product reference and package count together. If several different products are being combined, list the quantities for each model rather than giving only a total piece count. This also provides a useful basis for checking that a receiving team knows which packages belong together.

Request packed dimensions in a consistent format

Distinguish the furniture’s assembled dimensions from the outside dimensions of its proposed packaging. Ask for length, width and height with the unit clearly stated and the same measurement order used on every line. If a model has more than one package, request the dimensions for each package type.

Label early information as provisional where the packing arrangement has not yet been finalised. Ask who will confirm the final measurements and at what stage. A freight estimate based on preliminary information should not be mistaken for a confirmed shipment specification.

Keep weight and volume questions separate

Request net product weight and gross packed weight as distinct fields, with the basis of each figure explained. Where an outer crate, pallet or other grouping is proposed, ask whether its size and weight are included in the information supplied. A per-product figure and a grouped-shipment figure are not interchangeable.

Your logistics partner can explain which shipment measurements and service details they need for their quotation. Avoid treating a calculated volume alone as proof of freight cost, container fit or loading suitability. Those decisions need the actual packing arrangement and the logistics provider’s review.

Discuss protection for the selected design

Describe the parts of the product that need attention during packing discussions: a projecting handle, separate table base, exposed edge or removable component, for example. Ask for the proposed protection and package identification rather than assuming that one packing description covers every design.

Where packing photographs are available, request a clear sequence showing the relevant product and its package reference. Such photographs can support a discussion, but they do not by themselves establish transport performance, moisture protection or compliance. Any testing, documentation or destination-specific requirements should be identified and confirmed separately with the appropriate parties.

Plan for receiving, not just dispatch

Share the intended delivery setting and explain whether the receiving team needs assembly information, component labels or a package-to-product list. For a project, distinguish the main delivery point from the final room or installation location. Confirm who is responsible for unloading, moving and assembly instead of assuming those activities are included.

Start your reference list with the dining-table collection, cabinets and sideboards or coffee and side tables. Then request packing information for the exact models under discussion. Packing details, commercial terms and timing remain subject to confirmation for the individual enquiry.
